HR Administration Specialist

We are looking for an HR Administrator to join our team and become a key point of contact for employees on HR administration and immigration matters in Cyprus. In this role, you will be responsible for managing the full cycle of HR administration, coordinating work and residence permit applications, liaising with government authorities, maintaining HR systems, and contributing to the continuous improvement of HR processes.

Responsibilities

  • Acting as a first point of contact for employees regarding HR documentation, benefits, leave, immigration, and internal HR procedures.
  • Preparing, issuing, and maintaining contracts, amendments, and other HR documentation (including filling out application forms, collecting and checking relevant paperwork, and advising employees regarding sets of necessary documents);
  • Preparing, collecting, checking, and submitting documentation required for immigration, residence, and work permit applications in Cyprus;
  • Personally submitting applications to the Migration Department and other relevant authorities, attending appointments when required, and following up on applications until completion;
  • Advising employees on immigration procedures, required documentation, application timelines, renewals, and related administrative requirements;
  • Maintaining accurate and up-to-date employee records, personnel files, and HRIS data, and conducting regular data quality checks;
  • Supporting monthly payroll preparation by collecting, verifying, and submitting relevant employee data, including salary changes, bonuses, leave, absences, benefits, and reimbursements;
  • Administering employee benefits in accordance with company policies and coordinating enrolment, changes, and employee queries;
  • Collaborating with Legal and Finance departments;
  • Assisting with the development and implementation of HR policies with legal requirements and company guidelines;
  • Participating in HR projects and initiatives;
  • Supporting HR system improvements and process optimization initiatives.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Law, or a related field;
  • Previous experience in HR administration, HR operations, personnel administration, or a similar role, preferably within an international company;
  • Practical experience with Cyprus immigration procedures, including residence and work permit applications, renewals, and communication with the relevant authorities;
  • Knowledge of Cyprus employment legislation and HR administration practices;
  • Fluency in English and Greek, both written and spoken;
  • Confidence in communicating with government authorities and handling documentation in Greek;
  • Experience working with HRIS or HR management systems; knowledge of BambooHR, Workday, HiBob, SAP SuccessFactors, or a similar platform would be an advantage;
  • Good understanding of GDPR requirements and the principles of confidential employee data management;
  • Strong organisational skills and the ability to manage multiple deadlines, applications, and employee cases simultaneously;
  • High level of accuracy and attention to detail;
  • Strong communication and employee-service skills;
  • Proficiency in Microsoft Office or Google Workspace, particularly Excel or Google Sheets;
  • Ability to work independently, take ownership of assigned processes, and collaborate effectively with HR, Legal, Finance, and external providers;
  • A valid driving licence and access to a car would be an advantage due to visits to government authorities.
